  • πŸ“‹ Activities Timeline: A new Activities Timeline gives every request a chronological record of user actions and status changes in one place, eliminating the need to search across multiple tabs.
  • πŸ“Š Enhanced Reporting: CRB v1.1 adds dynamic filters, aggregate functions, and multi-column sorting to the Report Designer, enabling finance and operations teams to build advanced reports without custom development.
  • πŸ€– AI Workflow Enhancements: Custom AI Agent v1.2 and Email-Based Record Initiator v2.2 improve AI-assisted configuration and email-driven workflow automation, with Cflow’s AI focused on supporting approval workflows rather than replacing core business systems.

Cflow, a no-code workflow automation platform built for finance, procurement, HR, and operations teams, today announced the release of Cflow v15.1. The update strengthens how approval workflows connect to the systems organisations already run, with new capabilities spanning accounting integration, document consolidation, reporting, and AI-assisted configuration.

As more teams look to bring AI into how work gets reviewed and approved, Cflow’s approach stays anchored to a specific job: sitting alongside core finance, procurement, and ERP systems as the layer that governs who approves what, when, and with what audit trail. V15.1 extends that layer further into the tools finance and operations teams rely on daily, rather than asking organisations to replace what they already use.

“Every release we ship comes back to the same question: how do we remove friction from the approval chain without asking teams to abandon the systems they’ve already invested in?” said Bhaskar Krishnamoorthy, CEO at Cflow. “V15.1 is about connecting the dots between Cflow and accounting platforms, between scattered documents and a single output, and between AI configuration and the people who actually have to maintain it.”

Xero Integration Automates Accounting Handoffs

Cflow now connects directly to Xero, allowing workflow data to populate Xero records and Xero data to populate Cflow forms, without manual re-entry.

  • Cflow forms can pull live Xero data β€” account codes, tax rates, contacts, and invoice statuses β€” into dropdown fields when a request is initiated.
  • Submitted workflow data, including line items from workflow tables, can automatically create invoices and contacts in Xero.
  • Field mapping between Cflow and Xero is configurable, with required-field validation built in before data is sent.
  • Authentication uses Xero’s native sign-in flow, with tenant and account selection handled securely.

For finance and operations teams, the Cflow Xero integration removes a common manual step: retyping approved request data into the accounting system after the fact. Approved Cflow requests can become Xero invoices and contacts directly, with validation rules reducing the risk of mismatched or incomplete records.

Cflow Docs Consolidates Request Documentation Into a Single File

Approval requests often generate documentation from multiple sources: attachments, uploaded files, and generated PDFs that previously had to be gathered manually. Cflow Docs automates that consolidation.

  • Pulls from three document sources: request-level attachments, file fields, and custom-generated PDFs.
  • Automatically determines output format: a single file when only one document exists, or a compressed ZIP when multiple documents are collected.
  • Configurable by workflow event, stage, and rule, so document packaging triggers at the right point in the approval process.
  • The consolidated file is attached back to a designated field on the Cflow form, making it accessible without leaving the request.

This is aimed at the handoff points where approvals create the most administrative drag β€” audits, external submissions, and recordkeeping β€” by producing one complete document package instead of a scattered set of files.

Activities Timeline Gives a Full History of Every Request

A new Activities view, accessible from the form navigation bar, gives users a chronological record of everything that has happened on a request.

  • Activities are organised into All, User Actions, and Status Changes tabs.
  • User Actions covers file uploads, comments, clarification questions and answers, and recall activity.
  • Status Changes cover initiation, draft activity, approvals, and other stage movements.
  • Comments, clarifications, and file uploads can be expanded in place through a detail popup, without navigating away from the timeline.

For teams that have struggled to answer “what happened to this request and when,” the Activities Timeline puts that history in one place instead of requiring a search across separate tabs and sections.

CRB v1.1 Expands Reporting Without Custom Development

Cflow’s Report Designer (CRB) gains filtering, aggregation, and sorting capabilities aimed at letting business users build more advanced reports without involving development resources.

  • Dynamic filters can be configured as mandatory or optional at the point of report execution.
  • Aggregate functions β€” Sum, Average, Count, Minimum, and Maximum β€” are available, with automatic grouping applied to non-aggregated columns.
  • Reports support single- or multi-column sorting with priority-based ordering.
  • Filtering, aggregation, and sorting can be combined within a single report design.

The goal is fewer one-off requests to IT or development teams for custom reports, and more reporting flexibility placed directly in the hands of the finance, procurement, and operations staff who need it.

Expanded AI Agent Configuration and Email-Based Workflow Improvements

V15.1 also includes updates to two capabilities introduced in earlier releases, reflecting Cflow’s ongoing investment in its Seyarc AI engine and email-driven workflow automation:

  • Custom AI Agent v1.2 improves the configuration experience for teams building AI Agent prompts inside Cflow, including a larger prompt editor, a cleaner output-field selection process restricted to supported field types, and field keyword references displayed without hash symbols for easier readability.
  • Email-Based Record Initiator v2.2 adds unread email counts and reply tracking directly to the request Email tab, ensures reply emails are logged against existing requests instead of creating duplicates, and tightens mandatory field validation for email-configured workflows.

Together with this release’s other AI Agent refinements, these updates reflect a broader industry shift toward AI-assisted configuration of business processes. Cflow’s approach keeps that AI assistance scoped to configuring and supporting the approval workflow itself β€” prompt building, document extraction, compliance checks, and form completion β€” rather than positioning AI as a replacement for the finance, procurement, or ERP systems an organisation already runs.

Additional Enhancements and Security Updates

V15.1 includes more than 30 additional product refinements, covering password reset security, compressed file validation, workflow version tracking, dashboard behaviour, PDF and Word generation performance, OCR table field accuracy, and Connect API error handling. The release also includes a set of security patches and the results of ongoing security audits across the platform.

About Cflow

Cflow is a no-code workflow automation platform that gives finance, procurement, HR, and operations teams a governed approval layer for the processes that run their business. Rather than replacing core systems like ERPs, accounting platforms, or CRMs, Cflow sits alongside them, managing approval routing, audit trails, and compliance for requests like purchase orders, invoices, CapEx, expense reimbursements, and employee onboarding. Cflow is used by organisations including Tupperware, Godrej Capital, Habitat for Humanity International, BIC, and Fidelity United Insurance to bring visibility and structure to processes that previously ran through email and spreadsheets.
