Its commercial limitation is easy to miss. ChatGPT Business requires at least two standard seats. Official billing guidance lists $25 per user each month on monthly billing or $20 per user each month on an annual plan. Baseline Codex access is included, but OpenAI also sells credits to extend limits for selected models and coding workloads. Seat removal and billing adjustments can lag, and the self-service plan is card-based rather than invoice-led. Enterprise Pro starts with 500 Computer credits each month and a one-time 8,000-credit bonus that expires after 30 days. Monthly credits do not roll over. Ask searches do not use credits; Computer consumes them for multi-step work such as collecting data, using connected apps, producing files, or carrying a task across tools.

That credit distinction changes the economics. A researcher can run many ordinary cited searches without touching the Computer balance, while one ambitious autonomous task can consume a large share. The correct metric is not searches per month. It is verified research outputs per seat, together with the average credits used for tasks that involve Computer. The one-time bonus can also distort a first-month pilot, so budget modelling should use the recurring 500-credit baseline rather than the promotional balance.

Perplexity also offers an API priced separately from enterprise seats. Official rates vary by model and include token charges plus citation or search charges for some endpoints. Official pages describe the Business plan as including everything in Pro with substantially more AI usage than Free. Canva documentation states that pricing depends on location and seat count, and the public page did not expose one stable global US dollar rate during this review. That uncertainty should be written into procurement notes rather than replaced with an unofficial number. Buyers should verify the exact checkout price, tax, seat basis, and renewal rate in their region.

Usage is another hidden variable. Canva describes shared monthly AI allowances and offers an AI Pass add-on for more capacity. A shared pool is efficient when designers use advanced generation unevenly, but it can also make one heavy campaign consume the whole team’s allowance. The public pricing page lists Professional from $19.99 per month and Team from $69 per month. Team includes up to 25 users, shared workflows, folders and connections, SAML SSO, and priority support. The exact task allowance changes with the selected tier, and some support features appear only at higher task levels. Every action that counts as a task must therefore be included in the cost model. Zapier also states that each MCP tool call uses two tasks, which matters when an external AI assistant calls tools repeatedly during one conversation.

A reliable workflow begins with deterministic steps. For example, a website form can create a lead, normalise fields, check for duplicates, enrich the company record, draft a reply, and queue it for approval. AI should handle the fuzzy step, such as classifying intent or drafting language. Rules should handle validation, routing, time windows, and high-risk actions. Store the original input, model output, confidence or review status, final human decision, and downstream record identifier.
